Application Process
Flow Jam Vendor Schedule (for Memorial Day Start)
December – January (Prep Phase)
- Review/update vendor policies, applications, and fees.
- Decide booth pricing, payment deadlines, and prohibited/allowed items.
- Create/update the vendor application form.
February 1 – March 15 (Application Window)
- Open applications for returning vendors first (priority window).
- Open applications for new vendors shortly after.
- Communicate clearly: "Applications are open until March 15."
March 16 – March 31 (Processing & Review)
- Review all applications.
- Approve or decline vendors based on fit with event values/theme.
- Send out approval emails with payment instructions.
April 1 – April 15 (Payment Window)
- Approved vendors must submit booth fees.
- Give vendors 2 weeks to pay—any unpaid spots open to waitlist.
April 16 – April 30 (Waitlist & Finalization)
- Fill remaining spots from the waitlist.
- Send final confirmation emails with setup instructions, rules, and event map.
May 1 – Memorial Day (Final Prep)
- Vendors receive “Welcome Packet” (event layout, setup times, policies).
- Post final vendor lineup on social media/website to promote them.

Below are TWO (2) different applications. The first one is for the Flow Jam staff, and Vendor Director to review. The second, is for the City of Buffalo's special event permit.

City of Buffalo Special Event Permit Appliction
The City of Buffalo requires all vendors that intend to sell products at a special event needs to have the Special Event Temporary Stand/ Exhibitors Permit to attend Flow Jam. As soon as the 2026 applicaion is released by the City a link will be provided.
